When to use each document
In brief: use an estimate to discuss an expected cost while details are still developing; use a quote to present a proposed scope and price for approval; send an invoice when payment is due; and issue a receipt after you receive payment. The exact terms can depend on your agreement with the client.
Estimate
An approximate expected cost, useful when the final scope, quantities or conditions are not yet certain. Explain assumptions and what could change the price.
Quote
A proposed price for a defined scope of work. State what is included, the price, any exclusions and how long the offer is valid.
Invoice
A request for payment, including for a deposit or completed work. Show the amount due, due date, payment terms and accepted payment details.
Receipt
A record confirming payment received. Show the payment date, amount, what it covered and a transaction reference when available.
What should each document include?
For any document, make the parties, date, scope or transaction and money amounts easy to identify. Add applicable taxes accurately and keep the document number consistent with your records.
Estimate
Business and client details, date, expected scope, itemized costs or price range, assumptions, possible extra costs and an estimate validity period.
Quote
Business and client details, quote number and date, defined work or goods, quantities and rates, taxes or discounts, total price, exclusions, validity period and approval terms.
Invoice
Business and client details, invoice number and date, itemized goods or services, quantities and rates, applicable tax, amount due, due date, payment terms and payment instructions.
Receipt
Business and customer details, receipt number and payment date, what was paid for, amount received, payment method or reference, and any balance still due.
